The Secretariat of the WTO is seeking to fill a position ofOffice Assistantin the Information and External Relations Division.

This is an External Vacancy Notice open to external candidates and WTO staff. It is posted on the WTO internal as well as external career site. Eligible WTO staff on short-term, fixed-term or regular contracts and interns must apply through the Workday internal career site.

Reporting To The Divisional Coordinator In The Office Of The Director, The Incumbent Will Carry Out a Wide Range Of Secretarial And Administrative Tasks Supporting The Divisional Activities, Assisting With, Among Other Tasks
  • The organization of the requests for interviews with the Director-General and other prominent WTO Secretariat personnel;
  • The creation and management of files and records relating to divisional activities and respond to requests for information from other divisions and/or external stakeholders;
  • The search, collection and organization of information on content relevant to the work of the Division; the preparation of documents of the Division;
  • Make travel arrangements for the Director for official missions and assist staff traveling in the field as required;
  • Assist in the preparation of the Press Review;
  • Carry out administrative tasks as assigned by the Administrative Assistant; provide back-up support in the absence of the Administrative Assistant.

Education

REQUIRED QUALIFICATIONS

Completion of secondary school. Training in the secretarial field or proven experience in secretarial processes and practices would be desirable.

Knowledge And Skills

Technical Knowledge and Skills:

Basic knowledge of the WTO system.

Understanding of administrative and secretarial work processes in international or public organizations;

Excellent knowledge of standard software applications (Word, Excel and PowerPoint);

Knowledge of and experience in formatting documents according to established guidelines;

Basic research skills to search for and collect information;

Experience in directly assisting with big events equivalent to the WTO Ministerial Conference, Public Forum, Trade Dialogues, etc. is an advantage;

Experience in codifying and updating established rules and procedures is an asset.

Behavioural Skills

Capability to deliver consistently high-quality work;

Good organizational skills; demonstrated ability to work under pressure and to meet deadlines; and to pay attention to detail;

Ability to communicate in a clear, accurate and concise manner (written and oral) in English, French and Spanish;

Build and maintain relationships with colleagues and work as a member of a team in a diverse international setting.

Work Experience

Two years of relevant experience, preferably in an international environment.

Languages

Excellent knowledge of English, Spanish and French, both orally and in writing (minimum C1 level according to the Common European Framework of Reference for Languages (CEFR)).

Shortlisted candidates will be assessed on their language skills as part of the selection process.

For non-entry level positions, the position may be offered at a lower grade if the selected candidate does not fully meet all the required qualifications.

The WTO may use various communication technologies such as video or teleconference for the assessment and evaluation of candidates. The recruitment process may also involve the use of various forms of testing, assessment centres, interviews and reference checks.
