Responsibilities:
  • Serve as a key liaison to employees, vendors, visitors, building landlord, building security, other building service providers and local agencies during onsite visits
  • Manage subcontracted services (e.g., janitors, first aid, safety, food/beverage vendors, IT support)
  • Handle all building management and facilities issues ensuring all office requests are handled in a timely manner
  • Manage day to day activities in the Rapperswil office, including planning and scheduling of business meetings, booking meeting rooms, conference calls and events
  • Manage reception area to ensure effective telephone and e-mail communications are directed to appropriate personnel and maintain a professional image for the office
  • Act as Health and Safety representative for the facility and adhere to required guidelines and procedures, with special attention to the COVID-19 Swiss regulations in place
  • Provide general administrative support such as managing office supplies and equipment, answering phones, mailing, filing and photocopying
  • Create efficient office procedures, filing systems, reports and record keeping methods, as necessary
  • Manage office expenses, including validating invoices against quotations, and process invoices for payment in collaboration with the Finance department
  • Exercise creativity, initiative and understanding of the business objectives, independently manages systems and applications to prepare communications, budgets or other data displays
  • Ability to take on additional tasks, projects and requests (as needed)

Education/Experience Requirements:
  • Bachelor’s degree preferred
  • Proficient user of MS Office Package
  • Fluent in High German, (possibly Schwyzerdütsch as well) and English, another European language would be desirable

Additional Skills and Experience:
  • The incumbent will embody Travere’s core values – accountability, entrepreneurial spirit, integrity, patient focus, scientific excellence, teamwork.
  • Experience in a regulated start-up environment with a European footprint will be favored
  • Minimum of 3-5 years of office administration experience; Facilities and HR experience preferred
  • Proven ability to operate independently with initiative and minimal supervision
  • Positive attitude, courteous and voluntarily helps with all employees, consultants, vendors and guests
  • Energetic with the ability to multi-task and prioritize workload
  • Excellent written and verbal communication skills
  • Service-oriented and problem-solving skills with the ability to anticipate challenges
  • Regularly works with time-sensitive and confidential information while exercising tact, diplomacy, and discretion in written and verbal communications
  • Recognize opportunities / gaps / obstacles, apply analytical and creative thinking to address issues or find innovative solutions and see it through to completion by taking ownership and accountability
  • Demonstrated intuition as a result of experience working through complex situations/issues
