About the role

We are currently looking for an experienced and proactive Personal Assistant to the CEO. The position is meant to provide day to day support, allowing the executives to fully focus on the business aspects of the job, while the operational and administrative follow up of the ongoing projects is covered in a professional and thorough manner. This role requires the ability to juggle multiple requests and meet tight deadlines. Integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives is crucial. You will become a part of a very dynamic team.

Your Key Responsibilities:

  • The Personal Assistant (PA) reports, and primarily support the CEO of the Group and work closely with the executive Leadership Team as well as collaboratively with assistants in other locations.
  • Being the right-hand of the CEO, providing a high standard of personal executive-level assistance to meet the needs of the CEO’s objectives while focusing on efficiency and time management.
  • Full management of CEO’s calendar and schedule
  • Ensure CEO has all necessary information to efficiently manage meetings (incl. organizing agendas and materials). Attend meetings with the CEO when needed; taking notes and ensure successful follow through on projects
  • Comfortable with complex travel arrangements (incl. detailed itinerary preparation, visa applications, accommodation bookings flights, transfers, etc.)
  • Responsible in preparing and reviewing reports, reformatting presentations, etc.

Your profile & skills:

  • Minimum 10 years of experience supporting C-level executives on work and personal matters
  • Bachelor degree preferred
  • Excellent communication skills in German and English – verbal and written, Portuguese will be considered as a huge advantage
  • High proficiency of Microsoft Office Programs, including Excel and Power Point
  • Experience working in a global company – advantage
  • The role requires a motivated and flexible individual with exceptional multi-tasking ability and can-do attitude as the demands on the role will vary from time to time.
  • Excellent communication and interpersonal skills with people at all levels and from all backgrounds and cultures
  • High accountability and reliability, as well as excellent organizational skills
  • Problem solver who can come up with solutions with minimal guidance
  • Independent, energetic with a positive approach
  • Willingness to travel from time to time (not very frequently)
