La sua missione
The Receptionist aims at being responsible for managing the company?s reception duties, general secretarial tasks and the canteen vouchers. In doing so, the Receptionist has to know all the organizational chart, the management & employees roles. He/she is also in charge of controlling the video-cameras and be able to respond appropriately to any internal alarm sound accordingly to the company’s Health & Safety procedures.

- Assure the switch on of the switchboard every working day/morning and check the answering-machine calls
- Answer and address incoming phone calls and clearly determine the purpose of calls
- Take and deliver messages accurately
- Deal with queries and provide correct information
- Welcome visitors entering the company, record data on the appropriate lists and manage their visits and needs
- Switch off the switchboard at the end of each working day and put in the security state
- Check daily employees absence and inform accordingly the related managers, the HR and the Canteen Staff
- Sort and distribute incoming correspondence, electronic mails, faxes and professional magazines
- Prepare mails, parcels, couriers documentation and faxes to be delivered/sent through the post office or other companies
- Manage employees badges (IN&OUT and coffee cards) and private phone call payments
- Control daily and monthly canteen vouchers, delivery sheets, invoices, etc.
- Handle the Organizational Petty Cash for small purchases
- Record the employees incoming & outcoming updating the related lists
- Monitor visitors access and maintain security awareness
- Check regularly the internal security video-cameras
- Ensure the continuous update of the internal security documentation
- Provide appropriate behaviour and reactions to alarm sounds following the company?s instructions

- Support the purchasing department with the administrative activities
- Handle freight lorries (loading, unloading activities and other special dispatching)
- Book organizational cars

- Good IT MSOffice package knowledge and Internet
Education / Degree
- Diploma in Business Administration or any other equivalent education
Work experience:
- 3-5 years relevant business experience as a Receptionist or in similar positions
- Experience acquired in an industrial/manufacturing environment preferably.
Languages:
- Italian Business Level
- English Business Level
- German Business Level
Soft Skills & Others:
- Customer service orientation
- Excellent interpersonal, written & oral communication skills
- Ability to work in an industrial and fast pace environment
- Ability to maintain high level of accuracy
- Ability to respond appropriately to security requests
- Confidentiality ,reliability and discretion orientation
