Job Summary (Primary Function)Coordinate training content creation, process design and delivery modes and timing of non-GxP trainings for relevant employees and contractors in Europe to ensure consistency and a coordinated cross functional approach to optimize employee (including new hire) experience and maximize effectiveness of training in the region.Essential Functions Of The Job (Key Responsibilities)
  • Act as a knowledge expert and manager of Incyte’s electronic training systems and provide reports and statistics to regional management to support oversight of employee engagement on content.
  • Make recommendations for continued improvements to training systems and processes to ensure these are kept optimal and efficient on an ongoing basis
  • Act as central contact person for creation, deployment and maintenance of individual or role based learning curricula (including training matrix) with content owners (and in coordination with QA for GxP content) to ensure a phased approach.
  • Design, implement and maintain a user friendly and intuitive central repository for all non GxP content to ensure that policies, SOPs and associated documents are easy to find and up to date.
  • Audit and control content on an ongoing basis to ensure expired or terminated content is removed to maintain a clean system
  • Assist content owners with the creation of associated documents such as decision trees, FAQs, check lists etc. to ensure maximal consistency, quality and coherence across non GxP training and reference materials.
  • Assess and suggest improvements to new hire on boarding training, just in time training and refresher training for Region Europe employees.
  • Maintain proper filing and storage practices to assure that the most current revisions of policies, SOPs and associated documents are available to the end users. Assure that document revision histories are maintained and are available for audits and regulatory agency review.
  • Manage and track controlled document distributions to external Incyte partners to support compliance standards.
  • Track the internal routing and review of non-GxP Policies, SOP’s, change requests, etc. assuring proper and timely review, approval and effective deployment.
  • Manage Incyte employee non GxP training records. Utilize Incyte’s systems to create and manage training curriculums, courses, training records and reports. Function as the first level end user support for the European non-GxP community.
  • Provide support for internal audits, monitoring or inspections including retrieving requested files, documents or generating reports from the Incyte systems on non GxP training.
  • Create and deliver training on certain core processes on behalf of regional functions for employees (including new hires) and propose process and content enhancements to maximize impact and effectiveness.
  • Identify and implement new ways to deliver process training to supplement live training and “read and sign” certification to increase efficiency and effectiveness.
  • Proactively collect and implement user feedback to further optimize processes and end user experience.
  • Work with departments to maximize use of SharePoint sites to make available training/process related documentation and resources to enable efficient and agile self-service access to knowledge for employees.
Qualifications (Minimal acceptable level of education, work experience, and competency)
  • Education/qualification in a training and process related discipline.
  • At least 3 years of experience within the pharmaceutical industry and ideally 5+ years in a documentation and training support role.
  • Strong project management skills.
  • Ability to plan, prioritize, and execute multiple projects; ability to multitask and work both independently and within multi-disciplinary teams.
  • Fluent English and excellent communication and advocacy skills
  • Strong interpersonal skills and demonstrated ability to cultivate strong working relationships with both internal and external groups and to promote quality compliance.
  • Proficiency with Microsoft Office applications (e.g. Excel, Power Point) is required, as well as familiarity and working knowledge of key software applications relevant to electronic document management systems and learning management systems.
