General Description The Athletic Assistant primarily supports the Athletic Director with administrative tasks necessary to the well functioning of the Whole School Athletic Programme. This role requires the successful candidate to work Mo-Fr from 9am to 6pm and to provide support, on a regular basis, on weekends. The Athletic Assistant is expected to: Athletics Create team spreadsheets with student data from various sources (iSams, Schoolsbuddy, google forms and Schoology) Create student absence lists and share them with the front office Update the divisional weekly bulletins by sharing absences and by sharing upcoming athletic events and adding event information for teams, on a weekly basis Register ‘Jugend und Sport’ (J+S) courses on the NDS database Hand out uniforms and track them. Liaise with the Finance Team at the end of each season to ensure appropriate penalties are applied, if necessary Check Athletics physical mailboxes on both campuses Check inventory of athletics equipment before and after a season (Fall, Winter, Spring) Attend internal meetings with other departments and take minutes Help prepare home events such as friendlies and tournaments Welcome and direct guest teams on campus Arrange meetings for the Athletic Director Coach at least one season Holiday Camps Follow-up registration process with parents Follow-up registration process with the Finance Team Transportation Update the after school transportation document, on a weekly basis, for team practices Navigate changes with the Transportation Team in collaboration with the Athletic Director. Travel Organise the logistics for tournaments/games, including ensuring bookings for hotels, buses, trains and flights based on the invitation from other international schools and/or tournament calendars Collect travel information from students’ parents Keep track of attendance lists for students attending away trips Research different travel options to optimise trip costs Business Administration and equipment Provide invoices for reconciliation purposes,on a monthly basis for the Finance Team Update monthly coaches stipend list for the HR Team and the Finance Team Get quotes for equipment purchases and e nter purchase requisitions and expenses into Precoro Facilities Check usage, organisation and cleanliness of HS Gym and HS Astro Turf, once a week. Report any damage and raise any necessary intervention through Facility Soft to the Site Team Oversee the HS Facilities Calendar. Inquire about and book external facilities Required and Preferred Qualifications/Experience Excellent English (speaking and writing).
