The position

You will report directly to the Executive Vice President (EVP) for Biopharm Operations and be based in Z ü rich, Switzerland. As a personal assistant, you will become the anchor point for the EVP and Biopharm Operations Leadership team when it comes to planning and managing calendars, aligning and coordinating with other stakeholders in Z ü rich and across EVP areas. We expect you to manage the EVP’s calendar and always be a foot ahead of him in optimising planning, making changes seem seamless, and using his time effectively. The position demands a high degree of service, planning, structure, and coordination in an independent manner, with gravitas in judgement and a smile. Occasional travel may be expected, as well as running smaller projects.


The position will require a significant degree of stakeholder interaction and coordination within Biopharm Operations and with stakeholders in HQ and broader Novo Nordisk value chain. You should role model personal initiative, agility, determination, and persistence to find solutions to dilemmas.


Role responsibilities are as follows:

  • Calendar management and travel arrangements
  • Participate in all management meetings: organise these meetings, securing agenda, follow-up, travel and logistics etc., and liaise with HQ/Regions/Affiliates on trip agenda, as well as alignment among other assistants
  • Administrative responsibility management meetings and ensure smooth running of meetings irrespective of the media (e.g., video conference, telephone, face-to-face).
  • Fast response to internal and external inquiries, handle requests from stakeholders as independently as possible, and handle confidential matters adequately
  • Other administrative tasks (e.g., system approvals, expense management, etc.) on behalf of the EVP
  • Align with various internal and external stakeholders on EVP participation in events/meetings or similar
  • Identify and implement opportunities to reduce EVP administrative tasks, and to support EVP in ad hoc related tasks
  • Project management for meetings such as, agenda, logistics, meeting execution, agency alignment and contract, planning

Qualifications

You have a minimum 10 years’ work experience in an Administrative role reporting to a senior management member. You are experienced working with senior/executive leaders in a fast paced, international environment with diverse stakeholders, optimally within a matrix organisation. You are high performing, able to work independently but also collaborate cross functions. You have strong interpersonal and communication skills, and able to maintain strict confidentiality. Your core strengths include strong planning and organisational skills. People think of you as highly service-minded and a person that is highly adaptable and flexible.

You are fluent in English, both verbal and written is mandatory. You have advanced IT skills (Word, PowerPoint, Internet, Intranet).
