Job Description

A successful Executive Assistant possesses structure, attention to detail, quality focus, high energy and flexibility to a high-paced deadline driven organization. In this role you will need to work well with Wealth Management senior leaders and directs in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various senior executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department’s activities and goals.

This candidate must lead all initiatives from conception to completion.

The duties and administrative functions will require confidentiality, initiative, sound decision-making, independent judgment and priority setting.

Candidate must perform secretarial duties requiring precision, a strong work ethic and a common sense approach.

Core Responsibilities:

  • Maintain complex, dynamic and detailed calendar for the Market Manager
  • Screen incoming calls and determine the level of priority, while using caution in dispensing information
  • Manage the coordination and logistics of both internal and external meetings
  • Arrange and coordinate complicated domestic and international travel coordinating Visas, logistics and preparing itineraries
  • Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter experts for policies and procedures
  • Produce high quality emails and messages to individuals at all levels of the organization
  • Handle regular activities without prompting, and advise in advance with issues or delays
  • Work cooperatively with the administrative assistants team, in positive partnership to support each other smoothly
  • Lead and coordinate on ad hoc projects as requested

Requirements:
  • Excellent verbal and written communication and interpersonal skills with the ability to produce high quality emails and messages to individuals at all levels of the organization
  • Significant administrative experience, ideally supporting at the Managing Director level (or equivalent) or above
  • Solid organizational and time management skills
  • Demonstrates tact and good judgment in confidential and sensitive situations, and proven experience interacting with senior management
  • Strong interpersonal, written, and oral communication skills
  • Strong proficiency in Microsoft Office
  • Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management
  • Self-motivated, effective, flexible and proactive with the ability to work in a high pressure environment, can demonstrate ownership within the role and anticipation
  • Able to work with minimal supervision, works well individually, in a Team and able to build networks
  • High level of attention to details and to be able to deliver high quality results
  • Can follow up effectively without prompting and keep one step ahead of arrangements and requirements
  • Fluent in English, French and German or Italian
