Founded in early 2000, EGG Events is a full-service event planning and production agency, with offices in France, Switzerland, Belgium, USA, Italy & UAE. Over the years, we’ve created and produced meetings and other events for some of the biggest names in the global pharmaceutical and healthcare industries and we’re a steadily growing reference in the technology, sports, luxury goods and financial services sectors, too.
Hours: Full time position
Location: Egg Switzerland / Meyrin – Geneva
The Delegate Manager manages the logistics of event participation, from sending invitations and processing replies, to managing the on-site presence of delegates in compliance with DMOS rules and procedures specific to each company.
The Delegate Manager, therefore, manages two different types of customers:
- The company (pharmaceutical laboratory)
- The participant (doctor, pharmacist etc.)
DELEGATE MANAGEMENT RESPONSIBILITIES
- Working directly with the EGG Project Manager and the client, create dedicated event management databases (CVENT, Atrium, Evenium, KEY4, Wegg)
- Update the DB daily with participant names as attendance is confirmed
- Create documents (practical information, expense reimbursement form, etc.)
- Create an updated attendance list for the day of the event
- Prepare information notes for expense claims
- Send Email invitations
- Manage guest responses and reminders and follow-up regularly with participants
- Prepare updated progress reports for customer
- Manage congress registration
- Generate emailing’s for the event: invitation, follow-up, final confirmation emails, etc…
- Propose travel itineraries/tickets and follow up with participants
- Issue tickets, monitor prices and provide information to Project Managers
- Presence on site if the event takes place in Paris and involves more than 100 people, after agreement of the Project Manager and the Database manager
- Provide support on day of event (manage change requests)
- Update information after the event (present / absent)
- Send post-operation report to clients within 48 hours
- Send final documents (attendance certificates and satisfaction surveys)
- Prepare transparency report in liaison with the Project Manager
- Liaise with participants via a dedicated event email address to respond to logistical questions
QUALIFICATIONS
- Fluent in English and French, German is a plus
- Applicant must be eligible to work in Switzerland – part of the EU or must already have a permit to work in Switzerland.
- Excellent knowledge of Microsoft Office.
- Excellent knowledge of database management software (Proficient in Cvent)
- Organized and rigorous
- Skilled at managing priorities and taking a proactive approach to problem-solving
- Great listening skills and able to digest information and present it in a succinct manner
- Personable and approachable
