The opportunity

The position is meant to provide day to day support, allowing the Partners you support to fully focus on the business aspects of the job, while the operational and administrative follow up of the ongoing projects is covered in a professional and thorough manner. Your Key Responsibilities

  • You will proactively support a number of Partners and Associate Partners with respect to their administrative tasks and processes

  • You will be responsible for monitoring quality and quantity of daily work according to the defined scope of work, ensure a continuous improvement of service quality, foster knowledge sharing and promote best practices

  • You will be setting up complex meetings and manage Partner’s agendas, make travel arrangements, and take minutes in French and/or English.

  • You will be responsible in creating reports and presentations, manage invoices and physical mail

  • You will be responsible for correspondence, presentations, reports, invoices, and other relevant documents in collaboration with the centralized teams

  • You will organize events and participate actively

  • You will coordinate and support tasks in relation to client facing activities such as organizing client events as well as internal activities related to team, trainings, social, etc.

  • You will be responsible in maintaining several internal databases, process expense reports and similar tasks

  • You will act as an interface, internally between different departments and externally with customers


Skills and attributes for success

To qualify for the role you must have:

  • a diploma in administration management, or a higher professional diploma is a plus

  • 2-5 years of experience as Executive Assistant in a complex Swiss entity or an International organization

  • French native speaker with a proficiency in English both in writing and spoken. German will be considered a super plus

  • a broad knowledge of Microsoft Office programs, numerical insights, and analytical skills

  • the ability to work effectively in a fast-paced, multi-tasking environment

  • detail oriented and take ownership for the delivery of high-quality work

  • confident about adapting and embracing new technology and tools

  • open minded, flexible, and solution-oriented professional who appreciates working in a team and likes to explore and implement new ideas

  • a team player with good communication and interpersonal skills

  • a high level of stress tolerance
