Primary Function of Position:

The Sr. Manager Payroll is responsible for managing the team in place and for supervising all payroll activities in cooperation with our outsourced providers. S/He will ensure full compliance in all these activities over 15 countries. S/He will be responsible of the administration of various programs such as the Equity, Payroll Taxes (social charges and at sourced income) and mandatory Benefits programs.

The Sr Manager Payroll shall audit the current processes and providers services, work on continuous improvement in collaboration with the HR department and other internal stakeholders and develop SLA’s and KPI’s which will guarantee an outstanding quality of execution and speed of resolutions.

Roles and Responsibilities:

  • Manage the payroll function to ensure flawless and timely payments of salaries, equities, benefits, bonuses and commission plans across the region
  • Lead the auditing of the payroll activities, including the outsourced providers’ service level agreement and current contract and ensure smooth processes are in place, issues addressed in a timely manner and best practices developed
  • Manage the team and ensure the role and skills are in line with our priorities and customer needs through appropriate coaching and performance management
  • Responsible for developing and maintaining policies, procedures and business solutions for efficient payroll management
  • Review in partnership with HROPS the smooth Employee Life Cycle changes information reporting and propose improvements to meet customers’ needs and Company’ standards
  • Maintain a strong internal control environment and keep process documentation updated and aligned with SOX requirements. Facilitate SOX reports with external providers for the use and benefit of other departments as required. Execute SOX controls and ensure operating effectiveness
  • Manage all M&A activities and new countries from a payroll perspective
  • Carry all compliance investigations and follow up on all regulation changes related to Payroll and Company Financials
  • Be the International Expert on Tax (social charges and income tax) and Equity, and work closely with the relevant departments in order to ensure proper practices in all countries and treat those aspects in a compliant and efficient way
  • Anticipate with the local payroll providers that all mandatory local requirements are met and that legal changes are implemented on the go, for example but not limited to: statutory salary increases, absences management, pension funds, etc
  • Inform and partner with Total Rewards on local changes related to the administration of cars, pension enrollment and deductible, absences and any other benefits affecting the payroll
  • Collaborate with TR and HR on various policies (LOA’s, Company Cars etc) to adapt, improve and implement
  • Be responsible for the delivery of all payroll related reports, including governmental and regulatory filings.
  • This person will also be in charge of the reconciliation of accounts from payroll accounting with our Finance department
  • Track, monitor, and report on KPI’s and metrics, and develop action plans to improve and/or correct course.
  • Be hands-on with all responsibilities
  • Take on additional responsibilities as assigned
  • Ensure all Global Finance Shared Service Center operating policies and procedures are followed.
  • Follow company and Global Finance Shared Service Center project management methodology and documentation standards

Required Knowledge, Skills, and Experience:

  • Master Degree in Business or equivalent
  • + 15 years of experience in managing payroll activities across multiple EU countries
  • Proven successful experience in management of outsourced payroll providers and benefit processing
  • Deep knowledge of Social Benefits administration across EMEA
  • Successful team lead and people management experience (+5 years)
  • Experience in managing complex projects with multiple stakeholders
  • Demonstrates initiative and has problem solving mindset with hands on attitude when it comes to investigate and find solution
  • Ability to juggle in a multicultural and fast growing environment
  • Service oriented mindset and timely responsiveness to employees and business partners
  • Fluent in English and French, German is a strong plus
