Our radiation therapy for cancer makes treatment shorter, safer, personalized and more effective, ultimately enabling patients to live longer, better lives.Job DescriptionAccuray Innovation & partnership Hub CoordinatorSummaryThe Accuray Innovation & Partnership Hub Coordinator will work closely with the Head of the Accuray Innovation & Partnership Hub and with the Clinical Training & Support (CTS) Manager to ensure coordination, effective communication, process alignment and organization for all meetings, trainings and events held at the Accuray Innovation & Partnership Hub including Accuray Centre for Education (ACE).Her/his main responsibilities will include the organization of in person customer trainings held at ACE, welcoming and hosting customers visiting the Innovation & Partnership Hub for training, events or VIP reference site visits and will act as the responsible person for the effective day to day running of the Innovation & Partnership Hub.Reporting To/DepartmentManager of Accuray Innovation & Partnership Hub with dotted line to the Clinical Training & Support ManagerEssential Duties And Responsibilities
  • Organize the logistics surrounding onsite trainings for new and existing Accuray customers relating to systems and upgrades including (but not limited to):
    • Ensure once a customer has registered to attend training, they are eligible for such training according to their contact or system sales agreement.
    • Assist customers with travel arrangements (flight, hotel, car rental) and prepare visa invitation letters where needed.
    • Send relevant information ahead of the training to the customers.
    • During training act as the host and point of contract for attendees. Facilitate the smooth running of the courses and help to rectify any issues which may arise surrounding logistics.
    • Liaise with the EIMEA and Global Clinical Training teams to ensure correct registration procedures and relevant documentation relating to training is completed within a timely fashion.
    • Coordinate the ordering of lunches and refreshments when needed.
    • Manage the collection and coordination of post training feedback forwarding to the CTS manager.
    • Ensure distribution of training certificates to attendees.
  • Work with the Marketing and Commercial teams as well as the relevant members of the EIMEA Steering Committee to coordinate and host VIP reference site visits.
  • Ensure customers are registered (where applicable) with the relevant bodies to ensure sunshine act compliance.
  • Host customers during a training course or visit, ensure the center is kept clean and tidy, beverage and lunches are provided when needed and the facilities are kept well stocked.
  • Liaise with the clinical team at Swiss Medical Network and the Genolier Innovation Hub team to coordinate meetings, events and visits which require their input or attendance.
  • Order sundry items and supplies such as tea, coffee and milk.
  • Support expense management of the Innovation & Partnership Hub. Verify related invoices, prepare PRs, collect approvals and follow-up on payments.
  • Work with the Marketing and Operations team to coordinate and facilitate events to be held at the Innovation & Partnership Hub.
  • Ensure integration with other support functions as needed; share information and coordinate communication to ensure an effective and smooth workflow within the EIMEA region.
  • The position will be primarily based at the Innovation & Partnership Hub based at the Genolier Innovation Hub, Clinique du Genolier but should there be no duties required at the hub on a given day the coordinator will be able to work from the Accuray International Headquarters in Morges.
PERFORMANCE METRICS
  • Successful organization and management of training and events logistics.
  • Compliance with all EIMEA processes including timely sunshine act submissions for customers where appropriate.
  • Timely submission of PR’s and follow-up with the accounting team regarding payments.
  • Positive feedback from attendees on training logistics.
  • Positive feedback from other Accuray departments interacting with the hub such as the marketing and commercial teams.
Required Qualifications
  • Relevant diploma/certificate in operational administration
  • Experience in an international environment, preferably in healthcare sector
  • Excellent computer skills in MS Office (Word, Excel, Outlook, and PowerPoint)
  • Excellent interpersonal communication skills (verbal and written)
  • Be able to host customers and act as their liaison whilst visiting the Innovation & Partnership Hub
  • Be able to problem solve and use their own initiative
  • Ability to prioritize and work independently
  • Must be detailed-oriented and have excellent organizational skills
  • Demonstrated ability to multitask with a high level of initiative and motivation.
  • Fluency in English, additional European language preferred
