Reporting to the Specialist, Workforce Planning, the Associate Specialist, Workforce Planning & Data Management (WFP) is responsible for the execution and delivery of all workforce and position reports, identifying gaps in data, processes and procedures with respect to WFP. Further, the incumbent will work with and support the Specialist, Workforce Planning (SWFP) to breakdown workforce requirements for organizational planning and the forecasting processes, as well as managing their own set of duties.
Key Responsibilities
The Associate Specialist, Workforce Planning & Data Management is responsible for:
  • Compiling and reviewing workforce planning related data and improving the reporting provisions, ensuring data accuracy and acting as the main point of contact for all HR workforce planning related data.
  • Deliver and build proactive information to workforce planning stakeholders to support workforce planning business decisions.
  • Leverage data analytics to contribute to the efficiency and effectiveness of key workforce planning projects and processes.
  • Driving and supporting the transition from an ad-hoc reporting into an added value, predictive and trend focus approach.
  • Collect and compile workforce data and metrics from available sources including to identify patterns, trends and anomalies and support the preparation of recommendations related to workforce planning practices.
  • Manage stakeholders’ expectations while ensuring the position management processes are being adhered to.
  • Conduct and analyse forecasting activities with HR controller for the organizations and update positions based on inputs received.
  • Support the SWFP & HRBPs in developing annual workforce plans as part of the organizational planning process, as required.
  • Develop detailed workforce plans, entailing complex analysis, as an outcome of the annual workforce planning exercise in coordination with the SWFP and HR controller.
  • Validate workforce and position data in consultation with SWFP, HRBPs and with business focal point at regular intervals.
  • Work with HR Shared service team to reflect changes in position workforce and position data in a timely manner, based on outcomes of discussions with HRBPs and business focal points.
  • Ability to work independently and problem solve daily issues in relation to data.
  • Support workforce planning stakeholders by designing customized reports.
  • Support the creation of standard and / or ad hoc workforce planning reports as well as produce specific and complex reports, and dashboards.
  • Undertake any other duties as directed by the Manager, Rewards, Staff Relations, and Workforce Planning, SWFP and/or the Head of HR.
  • Provide in-depth data analysis on demand & supply, workforce plans & mitigation actions and benchmark data.
  • Analyse the workforce data to identify trends, document workforce trends or constraints to define and/or advise on required actions.
  • Design, develop and implement monitoring tools and methods to review and report on staffing strategies and adherence to budget and forecast.
  • Identify and develop key HR metrics to analyse workforce data.
  • Improve position management practices, guidelines and increase skills with key stakeholder to adhere to those.

Qualifications
Essential:
  • Bachelor’s degree in Human Resources, Business Administration, Industrial Psychology, or related field required.
Experience
Essential:
  • Good operational experience or knowledge with HR processes and systems related to core HR, recruiting, learning, performance management and overall people data
  • Proven ability to manage end to end workforce processes and to strategically frame workforce statistics, data and trends analysis, forecasting needs, and developing workforce plans.
  • Excellent communication skills (verbal and written) with the ability to present information clearly and succinctly at all levels.
  • Excellent analytical skills with good attention to detail, including ability to design and conduct audits
  • The ability to recognize opportunities for enhancement and continuous improvement
  • Technical experience in Workday, Microsoft Excel, SQL, and technical knowledge for report production.
  • HR Data Analytics certification
Desirable:
  • At least three years of experience in related areas
  • Advanced Excel skills
  • Experience with ServiceNow reporting
  • Working knowledge of workforce planning and OD methodologies

Languages:
An excellent knowledge of English and preferably a good working knowledge of French. Knowledge of other languages would be an asset.
