Swiss Re’s Event Management team is looking for an Event Associate. In this role, you plan and execute meetings, events and conferences for internal customers.


About the Role


Your main responsibilities will include:

  • Develop, plan, organize, coordinate and execute Swiss Re conferences, meetings and events, mainly in our Centre for Global Dialogue in Rüschlikon, but also in Swiss Re Zurich premises and occasionally in external locations
  • Act as an advisor and executor for event solutions (physical, hybrid, virtual) to all customers in compliance with the Swiss Re specific guidelines / instructions, business aspects and quality standards
  • Administrative and organizational activities within our Event Management department e.g., Account Management, Monitoring and control of bookings, invoice handling including creation of purchase orders and controlling
  • Managing reservations and creating working orders (function sheets) with our event software Momentus (Ungerboeck).
  • Guided tours through the Centre for Global Dialogue and provide onsite support during the event as required (extended hours, including weekends, may be involved)
  • Invitation and registration management with our software MS Dynamics
  • Manage and secure efficient event supplier relationships
  • Creating offers and contracts for our 3rd party clients
  • Leading event projects and coordinating all involved parties/interfaces (Gastronomy, Front Office, Move and Infrastructure, Security, Event Technology, Transport, etc)


You will work both in Zurich and in Rüschlikon.

About the Team

Swiss Re’s Event Management team, a unit of Corporate Real Estate & Service (CRES) Zurich, is producing and coordinating any kind of events for internal and external customers as required by the business to guarantee the highest standard levels commensurate with Swiss Re’s image and quality expectations. Our customers belong to various business divisions, and we ensure that requirements are delivered to our suppliers.

About You

You have:

  • Commercial, hotel or event management education
  • Minimum 2 years’ experience in event management or conferencing, preferably in a hospitality or corporate environment
  • Excellent organizational skills and ability to direct events from request to execution, physically, hybrid or full virtually
  • Experience in working with MS Dynamics and Momentum (Ungerboeck)
  • Strong verbal and written communication skills, ability to adapt to fast-paced environment
  • Proficient in German and English / any other language a plus
  • Good computer skills – Microsoft Office 365
