The Executive Assistant position is a part of CIL HR department and focus on providing full executive support to the CHRO and the corporate HR organisation. This role serves as the primary point of contact for internal and external matters pertaining to the CHRO. Responsibilities include both typical executive duties such as reporting, meeting management, translating documents, and coordinating cross-functional communication, and strategic supporting duties that include connecting CHRO, management level and COFCO Group, helping HR projects management, supporting translate the vision into action. The ideal candidate will report to CHRO directly and based in Geneva.

The role is set to be an induction and transition into an operational HR role, or alternatively a role outside HR within COFCO International, and candidates are expected to be internationally mobile depending on the opportunities available, within a horizon of 3 years.

Responsibilities
    • Provide administrative support in a variety of functions to CHRO and ensure the efficiency of process flows and communication.
    • Documents and meetings translation, mainly Chinese into English and English into Chinese.
    • Provide communication support, including both contact with COFCO Group and management level in COFCO International, transmitting the requirements/communications from COFCO Group, preparing weekly HR reports and others required, and management of emails and tracking of requests and critical path inquiry to response and management of CHRO, transmitting communications to the teams on behalf of the CHRO.
    • Provide scheduling and coordination support as a strategic tie to alignment with priority routines and deliverables.
    • Oversee corporate HR projects as part of the further development of the incumbent into an operational HR role to ensure that needs are fully understood and executed against within the project strategy.
Qualifications
    • University degree
    • Excellent Chinese (Mandarin) and English in listening, reading, speaking and writing.
    • Experience working in Human Resources desired.
    • Minimum of 3 years’ experience in a corporate environment.
    • Expert proficiency in MS Office, as well as the aptitude to learn new programs as needed.
    • Proven organizational skills, including the ability to manage a dynamic work volume. Ability to multi-task in a fast-paced, team-oriented environment in which priorities can shift quickly.
    • Very good communication skills (written and verbal), including internal and cross functional cooperation.
    • Solid self-initiative and motivation, and demonstrated ability to achieve goals independently, including analyzing situations and establishing priorities.
    • Demonstrates good judgment and ability to maintain the highest level of confidentiality.
    • Strong track record of professional integrity.
