You will support the BU leaders and be a partner to the BU Leadership Team. Our new assistant is someone who supports us beyond scheduling, planning meetings, travel arrangement and expense planning by helping us reach our set milestones and objectives in a timely manner. You will be asked to manage our timelines and commitments and be a partner in several projects actively and proactively.Tasks and Responsibilities
  • Organization of meetings, plant visits, internal meetings, conference calls, roundtables, and telepresence meetings.
  • SharePoint management, prepare presentation (action item taking during the bi-weekly meeting, sending out minutes, collecting agenda points and setting up and managing annual calendar).
  • Organization of meetings and events including larger team meetings and visits
  • Travel arrangements (Visa, flight & hotel booking etc.) & Expenses.
  • Create PowerPoint presentations, type, edit and proofread documents and correspondence.
  • Prepare purchasing requisitions using the internal purchase order system (SAP) and managing invoices.
  • Projects participation.
  • Be a partner in delivering our Global Auto milestones; manage our annual BU calendar.
  • Consolidate deliverables across the BU, consolidating data, pro-actively managing timelines and identify risks and opportunities.
  • Assist and provide coverage for other administrative assistants as needed.
  • Able to manage sensitive and confidential information with discretion.
What Your Background Should Look Like
  • Several years of Experience as Executive Assistance to the Board/company leaders.
  • Very good communications Skills in English and preferably a second language (German/French/Italian...etc).
  • Strong hands-on mentality
  • Very strong organizational Skills, focused on Details.
  • Self-organized and able to manage others.
  • Strong written and verbal communication skills required.
  • Excellent Microsoft Excel skills
  • Strong skills in Microsoft Office suite -- Outlook, Word, and PowerPoint; SAP experience is a plus
  • Demonstrated experience working independently, prioritizing work and handling simultaneous assignments with success and accuracy
  • Experience with video editing and social media management is a preference.
