We are looking for an experienced, friendly and helpful Executive Assistant to Knut Pohlen, Group Treasurer. About the role
We are looking for a capable, proactive and dedicated professional to support the Group Treasurer, the Treasury team and other senior Treasury partners!

Key responsibilities:

  • Provide professional, proactive advanced administrative support to Group Treasurer. Plan, manage and screen emails, handle calendar, organize meetings (internally and externally) and act as a "gatekeeper"

  • Collaborate with the Divisional Operations Officer (DOO) to support the Group Treasurer and entire Treasury team. Work closely and effectively with the Group Treasurer and other senior Treasury partners to keep them well informed of upcoming commitments and responsibilities and follow up where needed

  • Arrange travel schedules in accordance with Travel and Expenses policy, including planning, booking, visas, and itineraries and provide all documents for meetings/presentations during travels. Timely preparation and processing of travel expense reimbursement

  • Plan and coordinate internal and external meetings and events for the Treasury team, such as workshops, team events, Business Units and Rating Agency meetings

  • Establish and maintain good relationships with assistants of key internal collaborators, as well as external partners

  • Prepare, process and ensure all purchase orders, invoices and expenses are handled in a timely and accurate manager

  • Engage in internal communication activities such as maintaining the Treasury Sharepoint online site and communication emails


About the team
Group Treasury, embedded in Finance Departments, provides, steers, optimizes the financial resources of the firm. We are looking for a broadly experienced assistant to support the Group Treasurer and the Treasury team, if needed. This will be an interesting role for anyone who enjoys the variety, challenges and learning new things associated with a diversified team role.


About you
You are a teammate and a self-starter who thinks ahead, is result oriented and strives in a dynamic and professional environment. You are dependable, trustworthy and of high integrity with demonstrated proactive approach to problem-solving and strong decision making ability.


Essentials:

  • Several years of experience in an executive assistant role, ideally in the re/insurance or financial services industry

  • Professional, with experience supporting multiple leadership team members

  • Strong organizational skills that reflect ability to perform and prioritize tasks efficiently and with attention to detail

  • Very strong interpersonal skills and the ability and desire to build relationships

  • Excellent verbal and written communication skills in German and English

  • Proficient in Microsoft Outlook, Word, Power Point and, preferably with internal web-based applications such as MS Teams, SharePoint, Word, PowerPoint and Excel.
