Reporting to the “Manager, Secretariat Financial Process Optimization,” the “Specialist, Finance Process Optimization” focuses on the following key areas:
  • They will collaborate and engage with Finance Leadership. Business Owners and other internal stakeholders in identifying challenges, opportunities and support the provision of technology driven solutions for effective and efficient use of both human and financial resources. They will also support with subsequent Change Management activities and with the tracking of achieved benefits.
  • They will prioritize and execute the financial process optimization and digitization, leveraging a wide range of tools. They will support predictive and root cause analyses using financial and non-financial data to identify process improvement potential. Support process re-design in close collaboration with the IT Department by leveraging different tools such as advanced analytics capabilities to enable evidence-based and efficient optimization of available resources (financial and human resources).
  • They will support the change management process (i.e., developing and delivering training activities on new/changes to process for internal staff, Global Fund’s implementers and partners, and assurance providers) resulting from digitization initiatives and supports ensuring effective operationalization of new processes and systems by timely addressing the issues and bottlenecks post implementation. They will effectively collaborate, build and maintain professional business relationship with both internal and external stakeholders.
Key Responsibilities
Under the direction and management oversight of the Manager, Secretariat Financial Process Optimization, the Specialist is mainly responsible for:
Finance Transformation & Process Optimization:
  • Identify needs for process improvements or transformation initiatives in collaboration with Business Process Owners, IT, and other relevant stakeholders in Finance and Administration. Create cross-functional alignment around optimization and automation priorities.
  • Responsible for creating cross-functional alignment around optimisation & automation priorities;
  • Accelerate process enhancement and transformation by streamlining procedures and integrating automation solutions, ultimately enhancing operational efficiency and effectiveness.
  • Lead the development and delivery of selected process optimization and transformation initiatives, acting as the key point of contact for project management and coordination efforts.
  • Collaborate closely with Business Process Owners, IT, and relevant stakeholders within Finance and Administration to ensure successful project execution
Knowledge & Change Management:
  • Proactively communicate changes and updates to relevant parties, ensuring transparency and understanding throughout the change lifecycle.
  • Ensure effective operationalization of transformation initiatives after go-live by coordinating different Change Management activities, managing internal and external stakeholders, and building partnerships for effective collaboration and decision-making.
  • Develop and maintain a Finance document repository on core Finance knowledge materials (Policies, Guidelines, FAQs, etc.) to facilitate knowledge sharing
  • Collaborate closely with subject matter experts to continuously update and refine the repository of Finance knowledge materials.
  • Identify and address gaps in understanding and adoption of new processes, ensuring a smooth transition and maximum benefit realization.
  • Facilitate the development of training materials and orchestrate the delivery of training sessions for internal staff, including new employees, as well as external stakeholders. Ensure these sessions comprehensively cover pertinent business processes. Monitor the effectiveness of change initiatives, gather feedback, and iterate on approaches to enhance the overall change management process.

Qualifications
Essential:
  • Degree in Business, Finance, Computer Science, Statistics or related field
Desirable:
  • Master’s in Business Administration, Finance, or Economics or professional accounting qualification
Experience
Essential:
  • Demonstrable experience in leading cross functional change and transformation projects and / or performance improvement projects. Experience within a management consulting or finance transformation function would be highly desirable.
  • Project management and demonstrated change management expertise with the ability to deliver impactful changes with minimal disruption to an organization
  • Significant experience preparing high-quality, professional documents for senior audiences
  • Experience in a result orientated requiring strategic thinking and creative problem solving, with an excellent understanding of how to influence stakeholders to ensure effective & impactful use of resources
  • Experience in a cross-functional role requiring for their interpersonal skills, tact and diplomacy
Desirable:
  • Knowledge of the internal control and financial reporting requirements to multiple stakeholders (government, multiple donors, etc.)
  • Proficient in workflow automation tools: e.g., PowerApps, ServiceNow, AWS Salesforce Workday, etc.
  • Experience of working with large quantities of data for analysis including experience with modelling and analytics
  • High degree of numeracy including ability to synthesize large quantities of data, financial modelling & use of analytics techniques including business intelligence (e.g. Tableau).
  • Minimum 8 years of demonstrated professional experience supporting financial transformations from a business perspective

  • Due Diligence: Ensuring an appropriate spend of money by means of making informed decisions and initiating actions only after investigating all facts, conditions, rules, laws, regulations, financial considerations, or any other such matters. Level 2
  • Finance: Knowledge/awareness of financial and accounting aspects related to the Global Fund’s services. Level 2
  • Multicultural understanding: Sensitivity to multicultural differences and general awareness of how they impact cooperation, ability to use it in cooperation with partners representing other cultures. Level 2;
  • Operational policy: Knowledge of the Global Fund operational policies related to grant cycle. Level 2
  • Project Management: Knowledge of project management principles to effectively navigate change. Ability to structure and manage processes, plans, stakeholders, budgets and resources to achieve scope, quality, cost and time goals efficiently.Level 2
  • Risk: Knowledge of the risk management process: identification, aggregation, mitigation, monitoring and reporting of the risks associated with a grant making Organization that operates in high risk & challenging operating environments. Level 1
Technical Competencies:
  • Working experience in the design and implementation of RPA (Robotic Process Automation) software (e.g. Blue Prism, UiPath, Automation Anywhere, Microsoft Power Automate) or similar rule-based automation technology
  • Working experience in the design and implementation of intelligent automation technology (e.g. chatbots, virtual agents, NLP/NLG applications, simple Machine Learning, such as feature extraction, classification etc.)
