Job Purpose and Impact

The Legal Executive Assistant (LEA) will be part of the Administrative Services Center of Excellence and in charge of supporting senior lawyers and provide substantive administrative services to our legal department. The LEA will be the primary contact and will play a unique role which combines traditional executive administrative support strategically focused on the legal department, Geneva’s entities and around delivery of fast-paced professional services. This role will contribute to ongoing client satisfaction by ensuring the needs and expectations of our lawyers and businesses within our organization are met. We are looking for a detailed oriented, proactive, and energetic team player, who shows initiative, focused on results and able to resolve issues in a timely manner. Key Accountabilities

Support 12 entities managed out of Geneva including organization of yearly board of directors and shareholders meeting.
Draft relevant documents, gather financial statements, proxies, statutory auditors’ checks, update of RC (Register of Commerce) and GEMS (Global Entity Management System).
Management of corporate proxies and any corporate or tax document needed by local and foreign businesses (Anti-Money Laundering laws/Know-Your-Customer processes – commercial tenders -M&A/JV deals, etc.).
Plan and coordinate events, meetings, travel, and expenses.
Handle routine requests from internal clients, outside counsel and arbitrators
Contract revision providing basic legal information
Maintenance of law department databases and electronic records
Handle complex clerical, administrative, technical or customer support issues under minimal supervision, while escalating only the most complex issues to appropriate staff
Other duties as assigned Qualifications

Minimum Qualifications
High school diploma, secondary education level or equivalent
Minimum of four years of related work experience
Other minimum qualifications may apply

Preferred Qualifications
Bachelors’ degree or equivalent
Minimum of five years executive assistant support to senior lawyers in the legal department of an international organization or an international law firm
Minimum Swiss corporate law knowledge a plus
Good with document formatting (templates, macros, etc.) a plus
English fluency with strong French skills – Other languages appreciated
